FOR WRITING A SPECIAL PROJECT PROPOSAL, INCLUDING SUBTERRANEAN ROOM

When writing a proposal
please be specific and concise about all pertinent information. Please
address the following
1. Describe in
detail the type of event
2. What are the exact dates of the project? (subterranean (Sub-T) events
should coincide with gallery opening and closing dates)
3. How will the project be funded? Will admission be charged/how much?
Will donations be solicited? Or will artist(s) cover entire cost? It
should be noted that in the case of multiple artists, the gallery will
accept payment for the space and for cleaning deposit from ONE participating
artist only, not partial payments from each. It is up to each group
to make this arrangement amongst themselves. Note: Payment for the space
and $300 refundable deposit is to be paid 15 days prior to the opening
date.
4. Who will be allowed to participate? Please note that all participating
artists must have a gallery consignment form completed. Who is responsible
for making sure this gets done?
5. Is there a public relations plan, press releases, advertising?
6. How much space is required and specifically what will it be used
for? Which rooms, walls, pedestals, tables or other gallery resources
are needed?
7. Will there be special information or instruction that will need to
be provided to gallery sitters?
8. Who will setup, tear down and clean up? Cleanup is to be performed
by responsible party or parties after show opening, on the night
of the opening. Spot mopping of Sub-T floor is required after
opening if any beverages have been served. Please plan your evening
accordingly, the gallery will not do this for you.
9. Will the show (event) have other special requirements, such as early
registration, call to artists, special fixtures needed, permission to
deviate from established gallery policies or hours?
10. Who will provide security?
11. Who will staff your event?
12. Will you be serving alcohol? If so, you must get your own banquet
permit.
Remember that access to Sub-T may be limited depending
on circumstances related to sitter availability or other business operations,
such as life drawing. Shared space requirements may also be specified
in the contract. Please add any additional information that you feel
may be helpful in the decision making process, and feel free to call

HOW TO SUBMIT YOUR PROPOSAL
In order to provide the gallery board of directors with a reasonable
amount of time to consider your proposal before making a decision at
a board meeting, and to help facilitate scheduling of proposals wanting
the same space at the same time, please follow these simple steps
1. Please make 12 copies of your proposal
2. Please date, and bring these copies to the gallery at least one week
prior to the board meeting at which you would like to have your project
considered. Check with gallery for dates of meetings!
3. In the gallery’s bathroom, you will find a mailbox for each
of the current board members. Place one sheet in each box. Please do
this yourself, don’t give to the sitter. However, please notify
the sitter that you have submitted a proposal so that the date can be
documented in the sitter’s log .
4. Plan on attending or having a representative at that board meeting
to answer questions. After details have been worked out, you will be
asked to sign a written contract verifying our mutual commitments.
5. In the event that more than one party wishes to use gallery space,
such as the Sub-T, at the same time, preference will be given on the
following criteria:
• Was the proposal turned in at least one week prior to the board
meeting, and distributed to board members as described above?
• Is the person(s) or their representative who are making the proposal
present at the board meeting?
• If all are in attendance, preference will be given to active
gallery members, inactive gallery members, and non-members, in that
order.
• Finally, between equals, a coin flip will determine.
We kindly ask on all promotional material pertaining to your show that
